General Terms and Conditions

All tours and services with the Van in Black (winery tours, pub crawls, airport shuttles, etc.) are subject to the following terms and conditions:

  • All deposits to book a vehicle are non-refundable and dates can’t be rescheduled. This policy applies even if you cancel for illness, COVID, or “family emergencies”. There are no exceptions to this policy. Once you book service, the vehicles you booked are taken off the calendar so that other people can’t book it.
  • All bookings have a 4 continuous hour minimum (hours can’t be split over different time periods).
  • Billing begins at the scheduled pickup time or whenever the driver shows up (whichever is later). Changes to your scheduled and confirmed pickup time inside of 24 hours of the scheduled time (if the time is later) will not change when billing starts. Billing will start at the scheduled and confirmed time. Changing your pickup time within 24 hours is STRONGLY discouraged as this will likely affect reservations that we won’t be able to change.
  • All vehicles in our fleet are non-smoking vehicles and absolutely no smoking, vaping, or e-cigarettes are allowed inside our vehicles.  A $100 charge will be incurred for each smoking/vaping related incident.
  • Food and drinks can be enjoyed inside our vehicles and clients are asked and expected to enjoy any items responsibly.  A reasonable amount of cleanup is expected after each tour but any excessive messes or spills will result in a $100 cleaning fee.  Reasonable cleanup would be anything that can be vacuumed up without any scrubbing or extra effort.  Unreasonable cleanup would include, but is not limited to, the following examples:
    • Moist or wet food that is embedded or has become dried onto seat fabric or floors.
    • Excessive spills of anything other than water.
    • Stains in seats, floor covers, or other areas that require special solvents to remove.
    • Glitter (any use of glitter will almost certainly result in a cleaning fee).
  • Any biological incident that requires cleaning (e.g. vomit, blood, urine, etc.) will result in a minimum $300 cleaning fee. The fee may be higher if additional cleanup and/or detailing is necessary and our fees to get the vehicle cleaned exceed $300.
  • The driver reserves the right to immediately terminate services without any refund if any of the following occur:
    • Any person on the tour becomes excessively intoxicated.
    • Any person on the tour acts in an unsafe manner while in transit.
    • Any person damages a vehicle.
    • Any person vomits or experiences a biological issue that will incur an additional cleaning fee.
  • Van in Black is not responsible for any delays in transit due to traffic, weather, airline/airport problems, acts of God, or any other event/activity outside our control.
  • If a booking needs to be cancelled due to weather, unsafe road conditions, or some other condition that is out of our control, we will work with the client to either find a suitable alternate date or fully refund their deposit.
  • Van in Black is not responsible for any items left behind in a vehicle after a booking.
  • Clients are responsible for all damages to vehicles caused (intentional or unintentional) by the client or their guests.  Any damage done to a vehicle will result in a minimum charge of $300 but can ultimately be higher if the actual cost to repair/replace is higher than $300.
  • Clients are responsible for all missing items that are taken from our vehicles.  Fees for missing items are as follows:
    • TV remotes – $35
    • Champagne Flutes – $25
    • Whiskey Glasses – $25
  • Client agrees to abide by all federal and state regulations and laws.  Any illegal use of drugs/alcohol or illegal activity will result in the immediate termination of the booking with no refund given.  Clients are also responsible for any fines as a result of violating this policy.  This includes:
    • Any drug use in a vehicle.  Drugs (including marijuana) are prohibited by federal and state laws.
    • Open containers of alcohol are NOT permitted in the state of South Carolina.
    • No one under the age of 21 is permitted to consume alcohol if in a state that allows open containers.
  • There are some areas in the mountains that our vans are just not able to reach.  Most of the time these are just driveways and are easy to work around by meeting at the top/bottom of the driveway.  We try to make it to every pickup location but we obviously can’t put our vehicles or passengers in dangerous or risky situations.  We ask that customers be aware of this and have reasonable expectations with regards to this policy.  There are, however, some areas that we know are problematic and unfortunately can’t support pickups from these locations.  These include the following locations (to be amended as they are identified):
    • Charmeldee Sky-Hi Acres Community (Black Mountain)
  • Clients are responsible for all payment collection fees if legal or collection action is necessary to collect monies due.  This may include, but is not limited to, attorney fees and/or collection recovery fees.
  • All tolls and parking fees (if applicable) are in addition to our listed fees and will be billed to the customer.
  • Van in Black is federally regulated and our drivers can only drive so many hours. As such, there may be time and/or mileage restrictions for bookings that exceed these limits if relief driver is not available. This is necessary for both driver and passenger safety.
  • We cannot, under any circumstances, exceed the maximum capacity of passengers for any vehicle. This is not only illegal but is also not safe and will not be allowed.

We strive to make sure every experience inside our vehicles is a five-star experience and promise to work to ensure this high standard is met in every booking.  If, however, a vehicle experiences a mechanical issue or becomes inoperable at anytime during service, Van in Black will refund the full cost of the service.
